Optimizing Onboarding: A Step-by-Step Guide to Onboarding New Employees (2)

Welcome back to our series on optimizing onboarding with Dynaflow Solutions. In our previous post, we discussed what onboarding is and the risks associated with it. Today, we will walk you through a step-by-step guide to onboarding new employees, with a focus on IT systems like Infor LN or Infor Cloudsuite Industrial (Syteline), incorporating relevant standards and norms.

Step 1: Pre-boarding Preparation

Before the new employee’s first day, ensure all necessary hardware and software are ready. This includes setting up email accounts, configuring ERP systems, and preparing any other tools they will need. Following guidelines from the NIST Cybersecurity Framework can help ensure secure configurations.

Step 2: Role Assignment and Access Configuration

Assign roles based on the employee’s job description and responsibilities. Use role-based access control (RBAC) to ensure they have the appropriate permissions within systems like Infor LN. This step is crucial for maintaining segregation of duties and minimizing the risk of unauthorized access.

Step 3: Orientation and Training

Conduct an orientation session to introduce the new employee to the company’s culture, policies, and procedures. Follow this with specific training on the IT systems they will use, ensuring they understand how to navigate and utilize these tools effectively. ISO 10015 provides guidance on effective training processes.

Step 4: Monitoring and Support

Provide ongoing support as the employee settles into their role. Monitor their access and activities within IT systems to ensure compliance with company policies and detect any potential issues early. This aligns with the continuous monitoring principles outlined in NIST SP 800-137.

Step 5: Feedback and Continuous Improvement

Gather feedback from the new employee about their onboarding experience. Use this information to refine and improve the onboarding process for future hires, in line with the continuous improvement focus of ISO 9001.

By following these steps, you can create a structured onboarding process that minimizes risks and sets new employees up for success. Stay tuned for our next post, where we will discuss best practices for onboarding, including what to do when employees change roles.
